A to-do list can be helpful in most situations, so applying the same logic when planning an event is also a good idea. With much to consider before, during and after the event, it’s safe to say you’ll have a lot on your plate.

To take the pressure away and give you a clear guide of how to prepare for an event, we have created an exhibition check list to see you through from start to finish.

Exhibition Basic Preparation

  • Decide which stand you would prefer – ie Space only or Shell Scheme

  • Will you require installation and dismantle?

Additional Options (Not Compulsory)

  • Flooring
  • Furniture
  • Catering and drinks

Stand Arrangements

  • Who will attend the event
  • Select professional individuals to promote the brand
  • Book hotel rooms and transport ahead of time
  • Create name badges
  • Provide them with expenses budget
  • Ensure the team is briefed on full expectations of the day

Marketing

  • Promote your attendance on social media
  • Send newsletters via email
  • Invite clients to visit your stand on the day

Finalise print details

  • Create design and artwork brief for pop up stands/stand design
  • Print business cards Print any leaflets to support your brand message (If required)
  • Stand & accessories are ready and all documentation as been returned

On the day of the Event

  • Make sure staff are prepared before show starts
  • Build stand (if not using installation service)
  • Take stand plan to confirm all is correct on the day
  • List of decision makers and contact details Finally, enjoy the day

After the event

  • Follow up via email with 1 week of event
  • Connect on LinkedIn
  • Evaluate against lead and sales targets
